Job Description

  • Keep front desk / reception neat, tidy and presentable.
  • To ensure that Conference / Meeting rooms are in order, clean / tidy.
  • To keep check and ensure that all the IT equipment are working e.g. telephone exchange, telephones, faxes, conference call equipment etc.
  • Greet and welcome all the guests by escorting them to the concerned department / person.
  • Answering phone and keep record of all incoming and outgoing calls.
  • Receive and issue all incoming and outgoing mail and keep its record in computer / register.
  • Keep record all incoming / outgoing files.
  • To keep record of all the visitors / guests.
  • Distribution of mail within office / concerned departments.
  • Keep / update telephone directory of all the staff / offices of PEL (Shahzad International Group of Companies).
  • Any other administrative / data entry / clerical task assigned by the seniors.
  • Any other task assigned by the seniors.

Job Responsibilities

  • Greet guests and provide them with superb customer service by escorting them to their concerned department.
  • Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper.
  • Answer all queries and incoming calls.
  • Redirect phone calls to the appropriate department and take down messages.
  • Accept all letters and packages, and distribute them to their appropriate departments.
  • Maintain records and files.
